Tenant Communication Playbook: Cut Calls in Half

Most tenant complaints are not about the issue — they are about not knowing what is happening. A two-sentence update at the right moment will cut your inbound call volume more than any new software will.
Below is the exact phrasing we use when we run tenant communications on behalf of property managers.
The four-part message
Every tenant-facing message should hit, in order:
- What happened — one sentence, no jargon.
- What we are doing — current step, not the whole plan.
- What we need from you — or explicitly, nothing.
- When you will hear from us next — a specific time, not "soon."
Templates
Maintenance request received
We got your report about the kitchen sink leak. A plumber is scheduled for tomorrow between 9am and noon. You do not need to be home — we have a key. We will text you once it is fixed.
Same-day delay
Quick update: the plumber is running behind on an earlier job and will now arrive between 1pm and 3pm. Apologies for the shift — we will text again once they are on site.
Rent reminder (three days out)
Friendly reminder that May rent is due Friday. If you have already scheduled it, ignore this. If you need to talk about timing, reply here and we will work something out.
Late notice (day six)
We have not received May rent yet. Please reply today with either payment confirmation or a date you can pay by. We would rather work out a plan than start a formal notice.
Entry notice
We need to enter Unit 3 on Thursday, May 22, between 10am and noon to replace the bathroom exhaust fan. You do not need to be home. Reply by Wednesday if that window does not work.
Cadence rules
- Reply to every tenant message within four business hours, even if it is just "we got this, looking into it."
- If a job takes more than 48 hours, send a status update at the 24-hour mark.
- Always close the loop — the "it is fixed" text matters more than the original reply.
